WhatsApp Business API Explained: A Guide for Indian Businesses

WhatsApp is where Indian customers already talk — with family, friends and, increasingly, businesses. Many businesses start with the free WhatsApp Business app, then hit its limits as messages grow. That is where the WhatsApp Business Platform (often called the WhatsApp Business API) comes in.

App vs API: what’s the difference?

WhatsApp Business app

  • Free, runs on one phone (plus linked devices)
  • Good for small volumes of one-to-one chats
  • Basic catalogue, quick replies and labels
  • No real automation or integration with your systems

WhatsApp Business Platform (API)

  • Official route for businesses that message at scale
  • Multiple team members can reply from one number
  • Automated notifications from your website, store or CRM
  • Chatbots and integrations
  • Verified business profile (green tick eligibility is decided by Meta)

What you can do with the API

  • Order and booking updates: confirmations, shipping, delivery and reminders sent automatically.
  • Customer support: a shared inbox for your team, with history for each customer.
  • Chatbots: answer common questions, share catalogues and collect details around the clock.
  • Marketing messages: offers and announcements to customers who have opted in.
  • Integrations: connect with Shopify, WooCommerce, your CRM or custom software.

How it works

  1. Business verification: your business is verified with Meta.
  2. Phone number: a number dedicated to the API (it can’t be used on the regular app at the same time).
  3. Message templates: business-initiated messages use pre-approved templates.
  4. Conversations: customers can reply freely, and you can respond within the service window.

Pricing in brief

Meta charges per conversation or message, depending on the category (marketing, utility, authentication or service) and the country. Rates change from time to time, so check current pricing before you plan campaigns. Your solution provider may also charge a platform fee.

Stay compliant — and avoid bans

  • Message only people who have opted in.
  • Use the official platform, not unofficial "bulk WhatsApp" tools that risk your number being blocked.
  • Make it easy to opt out.
  • Keep marketing messages relevant and not too frequent.

When should you move to the API?

  • You receive more messages than one person can handle
  • You want automatic order, booking or payment updates
  • Several team members need to reply from one number
  • You want chatbots or CRM integration
